Evis LLC (hereinafter "we" or "the Company") establishes the following Privacy Policy (hereinafter "this Policy") regarding the handling of user information in the order management and inventory management application "OLIVE" (hereinafter "the Service") that we provide.
User Information Collected and Methods of Collection
In this Policy, "user information" refers to information related to user identification, behavioral history on communication services, and other information generated or accumulated in relation to users on devices such as PCs and smartphones — and which we collect under this Policy. The information collected by the Service is as follows.

- Representative or contact person name
- Address and phone number
- Email address
- Payment-related information (obtained via the Shopify billing system)
- Other information you enter in registration forms

- Generation of shipping labels and shipping label data
- Integration and data processing with external platform APIs

- Communications related to the Service and inquiry responses

Data Storage and Cross-Border Transfer (AWS)
To provide the Service, we store data on Amazon Web Services (AWS) servers located outside Japan. AWS complies with international security management standards, and we manage data appropriately in accordance with applicable personal information protection laws. By using the Service, you consent to your data being stored overseas.
Provision to Third Parties
Except as permitted by law, we do not provide personal information to third parties without user consent. The following cases, however, are exceptions:
- Outsourcing (server operations, payment processing, email delivery, etc.)
- Provision in connection with business succession
- Requests from authorities under applicable laws and regulations
- Where necessary to protect the life or property of the individual or a third party
Disclosure, Correction, Suspension of Use, and Deletion of Personal Information
Users may make the following requests under applicable personal information protection laws:

Data Deletion for Shopify and External Platforms
We will delete user data and customer data from our servers in response to Shopify data deletion requests (including GDPR/CCPA requirements). Deletion requests are accepted via our support channel.
Data Retention Period
User information is retained as follows:
- Data deletion upon application uninstall (cancellation) When you uninstall the Service, we receive a notification from Shopify and delete the data stored on our servers that relates to the corresponding store.
- Response to additional deletion notifications (privacy-related) After the application is uninstalled, additional deletion notifications may arrive due to Shopify-side processing. Upon receiving such notifications, we verify that no residual data remains and, if necessary, perform deletion again — applying a two-stage deletion approach.
- Customer personal information after contract termination (shipping address, orderer details, etc.) Following shipment completion, data is retained for 45 days as a necessary period for system maintenance and support, after which it is anonymized to a form that cannot identify any individual. (After anonymization, it is no longer treated as personal information.)
- Retention of past order data If you wish to retain a long-term history, we recommend that each store download and archive their order data at their own discretion. We do not retain or re-supply personal information beyond 45 days.
- Except for data with a legal retention obligation, we promptly delete user information once it is no longer necessary for the purpose for which it was collected.
- Upon receiving a "customer data deletion request" from Shopify or an external platform (including GDPR / CCPA requirements), we promptly delete the relevant data.

Procedures for Amendments to the Privacy Policy
We may amend this Policy as needed for legal compliance and to improve the Service. Any amendments will be announced on our website or within the Service. Where user consent is required by law, we will obtain such consent separately.
